Refund & cancellation policy

Version 1.0 · Last updated 27 October 2026

ThekaFlow is paid by invoice, yearly in advance, with no automatic debit. Because you try before you pay (Free plan, live demo, and a trial of a paid plan on request), refunds are limited to the cases below. This policy is part of the terms of service.

1. Free plan

The Free plan costs nothing, so there is nothing to refund. You can close a Free account at any time from the Admin email; your data is handled as in section 6 of the terms (30 days read-only for export, deleted after 90 days).

2. Trials

A trial of Starter, Professional or Enterprise is given on request for a fixed period (normally 14 days, longer for pilots) at no charge. No invoice is raised during a trial. At the end you either pay the invoice for the year or the account returns to the Free plan with your data intact. Nothing is charged automatically.

3. Cancelling a paid plan

  • You can cancel at any time by email from the Admin address, or simply by not paying the renewal invoice. The plan continues until the end of the paid year; after that the account becomes read-only for 30 days for export and is then closed.
  • A yearly plan is not refunded pro-rata for the unused months, except in the cases in section 4.

4. When we refund

  • First payment, within 7 days: if this is your first paid invoice with ThekaFlow and you tell us within 7 days of payment that it is not for you, we refund the full amount, no questions asked.
  • Duplicate or wrong payment: paid twice, or paid a voided invoice — refunded in full.
  • Service withdrawn by us: if we close the Service or remove a paid capability without an equivalent (terms, sections 9 and 12), we refund the unused months pro-rata.
  • Prolonged outage: if the Service is unavailable for more than 72 hours in a month because of us, we credit one month to your next invoice on request. More than 7 days in a month: pro-rata refund of that month if you ask.

Refunds are not given for a change of mind after 7 days, for workers who left during the year, for features you did not use, or where an account was suspended for breach of the terms.

5. Downgrades and upgrades

  • Upgrading mid-year: the difference is invoiced for the remaining months; no refund arises.
  • Downgrading: takes effect from the next billing year. The unused part of the higher plan is not refunded.
  • Fewer active workers than invoiced: the yearly invoice is not reduced during the year; the next year’s invoice uses the new count.

6. Overdue invoices

An unpaid invoice is not a cancellation. The account may go read-only 15 days after the due date and be suspended after 60 days (terms, section 3). Paying the invoice restores the account; no fee is charged for the restore. If you want to cancel instead, tell us and we void the invoice.

7. How refunds are paid

  • Email info@thekaflow.com from the Admin address with the invoice number and the bank account to refund to. We confirm within 3 working days.
  • Refunds go by bank transfer to the account the payment came from (or the one you name), within 10 working days of confirmation. A GST credit note is issued against the original invoice.
  • Refunds are made in Indian rupees. Bank charges, if any, are not deducted by us.
